A.                     CONCERTS IN THE PARK 2025 - While dates have not been set for the concert series, staff would like to invite recommendations for informational booth materials or giveaway items to handout during the event. The SCC has allocated funds within this year’s budget to purchase sustainable items, such as seeds, food, etc. We encourage suggestions that align with sustainable practices. Staff can bring back information on any potential materials or giveaways.

 

B.                     MEETING FREQUENCY - At the last SCC meeting, Committee Member Wong asked to place an item on the agenda for a second time to re-discuss the possibility of increasing the number of SCC meetings during the calendar year. The purpose would be to allow greater discussion on agenda items and better recollection of action items from one meeting to the next.

 

During the last discussion on this topic, staff introduced a time saving meeting structure that focuses meeting discussions on priority agenda items only, leaving other items as informational unless a committee member requested to pull the item for discussion. The Committee also maintained the 8:30 pm hard stop rule for meeting adjournments. In 2024, the average meeting adjournment time was approximately 7:30 pm and meeting discussions included all priority and requested items. Also, during the last discussion on this topic, staff emphasized that committee members are encouraged to meet between regular meetings to make progress on action items themselves. Member Wong will describe the details of her request (purpose, suggested meeting date(s) etc.) for consideration by the members. Staff will assist with identification of methods to stay abreast of action items and for increased activity between meetings such as referencing agendas and minutes on the City web site and committee members meeting and making progress on assigned action items between regular meetings. Staff will remind the SCC that one of the purposes of reducing the number of regular meetings was to allow members time to make progress on action items outside of the regular meetings, thereby reducing staff workload while increasing member progress on action items.
