Staff are seeking verification whether a quorum will be present for the regular Parks and Recreation meetings of November 20, 2024, and December 18, 2024, due the City’s Holiday Tree Lighting event and Santa’s Workshop event, respectively, and potential scheduling conflicts with the holiday season.

Determine whether a quorum of the Parks and Recreation Commission will be present for the regular meetings of November 20, 2024, and December 18, 2024, and provide direction to staff to reschedule or cancel either or both of the meetings.

Background and Analysis:
The November and December regular meetings of the Parks & Recreation Commission are scheduled for Wednesday, November 20, 2024, and December 18, 2024, respectively.
Due to conflicts with scheduled citywide events including the Holiday Tree Lighting event and Santa’s Workshop in November and December, respectively, and potential conflicts with the holiday season, staff are recommending the Parks and Recreation Commission cancel and/or reschedule the meetings as follows:
1.) Reschedule the November 20 meeting to either Wednesday, November 13 or Thursday, November 14.
2.) Reschedule the December 18 meeting to either Wednesday, December 11, or Thursday, December 12.
3.) Cancel the meetings of November and/or December 2024.
Staff have selected the recommended rescheduling dates based on other City meetings and events, and the availability of meeting space.
Should the Commission decide to cancel either or both of the meetings and a time-sensitive item arise that needs action by the Commission, staff would work to schedule a meeting on one of the proposed rescheduled meeting dates.
Staff are seeking verification whether a quorum, or a minimum of three commissioners, will be present for the November and December 2024 Commission meetings. If no quorum is present, the Commission may direct staff to cancel those meetings.
